1. Data collected
We may collect contact data, organization data, usage information and data necessary to deliver the service.
2. Purposes
Data may be used to respond to requests, deliver the service, improve the platform, meet legal obligations and support operational security.
3. Retention
Data is kept for as long as it is needed to provide the service and to meet the legal, contractual and operational obligations that apply to it. The retention period agreed with your organization is set out in your service contract.
4. Data subject rights
Data subjects may exercise rights of access, rectification, erasure, objection and restriction under applicable terms.
5. AI agents
If your organization allows it, a person can connect an AI agent, such as Claude or ChatGPT, to DOK Genius. Agents are off until an administrator of the organization switches them on and chooses which agents are allowed and the highest confidentiality level they may read.
An agent acts only on behalf of the person who connected it, with that person's permissions and never more. What it reads, including dossiers, documents and their content, is sent to the provider of that agent and processed under the terms agreed between that provider and the person or their organization. DOK Genius does not control that processing.
DOK Genius records each call an agent makes: the person, the agent, the tool, the moment and the outcome. That record does not hold the content read or written. Every act done through an agent is recorded in the person's name, with the agent beside it.
A person can see and end their agent connections at any time. An administrator can end any connection in the organization, and switching agents off ends them all at once.
